Main Purpose of Job

These are Political Special Appointment positions serving as the executive assistant to the Assistant State Superintendent for various Divisions/Offices within the Maryland State Department of Education.

POSITION DUTIES

Serves as a personal assistant and intermediary to the Assistant State Superintendent or Division Head; maintains frequent contact with the public, private executives, professional staff and other officials; manages incoming mail, telephone, and e-mail requests; determines appropriate course of action for response; composes routine and complex correspondence; reviews records and correspondence including applicable tables, charts, graphs, and forms for completeness and accuracy; maintains important and confidential records, schedules and expense accounts; interprets administrative decisions and policies to other members of the staff; may supervise or lead lower-level clerical employees; and/or serve as liaison for coordinating administrative operations; organizes logistics for meetings, conferences, and seminars; ensures timely submission of required materials to constituents; maintains up-to-date electronic databases including statistical and numerical reports and records; assists with various division initiatives; relieves the Assistant State Superintendent or Division Head of other operational details.

MINIMUM EDUCATION OR GENERAL REQUIREMENTS

Education:  Graduation from an accredited high school or possession of a high school equivalency certificate.   

Experience: Five years of progressively responsible experience providing administrative support to a senior or executive level manager.  One year of the above experience must have included Office Management.

SELECTIVE QUALIFICATIONS

Knowledge of the principles and practices of office management; knowledge of standard business English; extensive knowledge of Microsoft Word, Access, Excel, Power Point, and Outlook; skill in organizing and managing multiple tasks to ensure timely production and delivery of materials; skill in interpreting and summarizing information; skill in preparing a variety of complex documents, including correspondence, reports, handouts, databases, charts, graphs, and spreadsheets to a high level of accuracy; ability to communicate clearly and effectively, using correct grammar, spelling, and language conventions, in all written documents and correspondence and in all verbal communications; ability to exercise sound judgment in researching and answering inquires; ability to establish and maintain effective harmonious working relationships.

DESIRED OR PREFERRED QUALIFICATIONS

Note: Completion of two years of study at an institution of higher education or possession of an Associate’s Degree in secretarial science or office technology is preferred.
