Introduction

The Office of Administrative Hearing (OAH) is a State Agency that provides a medium where contested agency actions may be resolved, through an impartial administrative hearing process. The agency is currently recruiting for an Office Secretary, which is a permanent full-time position.

Main Purpose of Job

To provide administrative support to a team of eight or more Administrative Law Judges(ALJs).To facilitate the conduct of administrative hearings and the timely issuance of decisions. 

POSITION DUTIES

This position requires excellent verbal and written communication skills as well as great interpersonal skills. Proofread, revise and mail decisions, orders and prehearing conference reports, written by ALJs, prepare exhibit lists and ensure decisions are in format consistent with OAH policies and procedures, properly document all actions in Caseload Management System and close out profiles and review fields for correct format.

Prepare default orders for ALJs and submit to peer reviewers for review, maintain a tickler file for timely closing of case files.

Draft correspondence for ALJs signature involving postponement requests and scheduling matters, coordinate ALJs calendar with the appropriate Docket Clerk and Deputy Chief Clerk for assignments.

Close out cases which have been withdrawn, settled or canceled and mail case closed letters to pertinent parties as needed.

Receive and screen telephone calls from attorneys and case participants for ALJs, ensuring that ex-parte communications do not occur, handles inquires from attorneys, appellants, State agencies and others regarding the status of pending cases and decisions and relay messages to the ALJs regarding docket assignments.

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

 2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

SELECTIVE QUALIFICATIONS

Three years of performing secretarial or clerical work involving typing duties.

LIMITATIONS ON SELECTION

This recruitment is only open to current State employees.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or work processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
