Main Purpose of Job

This position is responsible for providing secretarial and administrative support to the Juvenile Services Education Program at the Victor Cullen Center.

POSITION DUTIES

Provides secretarial and administrative support for assisting the school principal with office management and school administration; develops and maintains files regarding student enrollment, promotions, removals, and graduations; collects, verifies, enters, and maintains statistical data used in a variety of reports; receives telephone calls and visitors, while exercising good judgment, courtesy, tact and discretion in providing information, answering routine inquiries, and conveying messages to staff when required; prepares correspondence for the review and signature of the administrative staff; composes and types important correspondence when necessary. Secure bids, draft and type requisition forms, monthly reports and other materials.

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.  

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.  

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

SELECTIVE QUALIFICATIONS

One year of the required experience must have been working in an educational setting.

SPECIAL REQUIREMENTS

Knowledge of office management practices; knowledge of standard business English;  skill in a variety of computer software (Microsoft Word, Access, Excel, PowerPoint, and Outlook); skill in organizing and completing multiple tasks with close attention to detail; skill in interpreting and summarizing information; ability to exercise sound judgment in researching and answering inquires; ability to establish and maintain effective harmonious working relationships; ability to work with At-Risk-Students; ability to communicate effectively.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
