Main Purpose of Job

This position is to provide administrative and secretarial support for the Staff Specialist, Community Rehabilitation Programs (CRPs) and the Staff Specialist, Transition and Supported Employment, within the Office of Program & Community Support at the Division of Rehabilitation Services (DORS).

POSITION DUTIES

This position provides administrative and secretarial support to the Staff Specialist III, CRPs by maintaining the updating documentation and records for Community Rehabilitation Programs, including drafting of Cooperative Agreements from templates, correspondence with CRPs and programs seeking approval, support of the CRP Advisory Committee and the Psychiatric Specialists affinity group, and updates the CRP data base. For the staff specialist, transitioning and supported employment, this position coordinates meeting logistics, compiles and disseminates reports and data for transitioning and supported employment. This position also provides back-up remote support to DORS field offices, in consultation with local management, to include entering referrals and applications, drafting authorizations, assuring invoices are processed in a timely manner, scheduling appointment and communicating with consumers. This position also provides information to members of the public calling or contacting the Division, completes minutes for the Executive Staff, provides support for staff related to updates in the Code of Maryland Regulation and supports the State Rehabilitation Council.  This position requires the ability to work with a variety of stakeholders with tact and diplomacy and to respond to individuals who may have concerns about DORS in ways that will de-escalate and diffuse their concerns and present options to address them.

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Experience scheduling meetings, creating reports, maintaining records and coordinating payments is preferred.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
