Main Purpose of Job

This position provides administrative and operational support to the Medical Relations Office's Consultative Examination (CE) Functions/Process, assists in providing support to the CE Scheduling Unit (CEU), with the administration of the CE Oversight Plan, and with the agency's CE quality assurance process.

POSITION DUTIES

Provide lead support to the Scheduling Unit.  Identifies scheduling problems, troubleshoots, analyzes and trains staff.  Assists with CE recruitment needs by overseeing mass mailing and prepares orientation and training packages for CE panels.  Creates and maintains resource files on CE providers regarding monitored reports and background information.  Maintains CE vendor file system, notifies Maryland State Department of Education’s Financial Management Information System of information for billing and payment purposes.  Participates in agency’s quality assurance process.  Assists with the CE monitoring process.  Independently conducts annual credential checks of CE providers.  Provides clerical support and back up to the Medical Relations Office.

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

  1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

  2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

  3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Knowledge of business English, spelling, punctuation and grammar; ability to research methods, and techniques used in collecting, compiling, and organizing data and information for reports; establish and maintain effective working relationships with employees, supervisors, and CE providers; ability to lead; demonstrate the ability to access and utilize automated applications; ability to create tables and manage databases such as access, excel and other computer applications.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
