Main Purpose of Job

A Services Specialist encompasses full performance and supervisory levels of work directing one or more general services functions for State departments, agencies, or facilities such as, but not limited to: building, housekeeping, ground keeping services; risk management; fleet management; mail/courier services; inventory, purchasing, and supplies; clerical services; receptionist/switchboard; records management; reproduction services; security services; space allocations; and telecommunications.

The main purpose of this part-time position (32 hours per week) is to distribute office supplies and forms to various Divisions submitting approved withdrawal requests, confirm that the appropriate supplies and correct quantities are received, maintain a neat and orderly supply room that supports the efficient handling of all supply items, and to notify the procurement officer when inventory levels for a particular item are at a reorder point.

POSITION DUTIES

  • Package, mail, and maintain a record of bulk shipments of WCC forms and other printed materials to insurers.
  • Conduct a complete physical inventory of all supply and material items at the close of the fiscal year (June 30th). The physical inventory information will be forwarded to the procurement officer who will be responsible for determining the dollar value of the inventory and reporting the information to the Department of General Services.
  • Transport documents containing sensitive information to a central storage area until they can be destroyed. Assist staff in retrieving items that may have been mistakenly placed in a Shred-it container. Assist the vendor in locating and gathering materials to b be destroyed.
  • Function as the WCC’s liaison for the “Recycling In Maryland with Pride” program.
  • Ensure that surplus property is maintained in a secure area until the appropriate disposition can be arranged.
  • Ensure that photocopiers are properly maintained and assist staff with clearing paper that has become jammed in the copier. A service technician would be contacted if the copier could not be restored to normal operation.
  • Ensure that the coolers located throughout the building have adequate quantities of water available. Contact the supplier to report inoperable equipment, request adjustment for damaged bottles, or modify the scheduled delivery date.
  • Ensure office space is properly maintained by maintaining a log of building maintenance tasks that need to be completed and verify that a vendor and/or building management makes the necessary repairs.
  • Conduct a complete physical inventory of all fixed assets at the close of the fiscal year (June 30th). The physical inventory information will be forwarded to the property officer who will report the information to the Department of General Services.

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years experience in general services functions, office administration activities or in the receiving, storing, issuance, purchase or requisition of equipment, materials, and parts and supplies.

Note: Additional experience as stated above may be substituted on a year-for-year basis for the required education.

SELECTIVE QUALIFICATIONS

The following is a required qualification. Candidates MUST possess the following:

  •     1 year experience using Microsoft Office Products.

SPECIAL REQUIREMENTS

The successful candidate must be able to lift 50 pounds or more.
