Main Purpose of Job

The purpose of this position is to provide clerical support to the Family Service Division and overall support to the Agency so that at-risk children and their families may be protected and served according to state guidelines.  Secretaries will use office equipment such as telephone, computer terminals and processing software that will allow them to effectively perform their duties. 

POSITION DUTIES

Answering the Screening Unit phones, directing callers to the appropriate line or resource, assisting the social workers by taking reports; correctly identifying the caller needs and relaying the information to the screening social work staff; providing paper supply and equipment assistance for copiers, fax machines, printers and mail distribution; set-up cubicles for new employees; organizing the supply cabinet; delivering closed records and flex funds to finance; providing lunch and end of day coverage of the CAC (Child Adovacy Center) reception desk; destroying the physical records of all cases in MD CHESSIE (Maryland Children's Electronic Social Services Information Exchange System) that are due for expunging by using CHESSIE and CIS (Client Information System) ID clearances to determine the correct expunging date; searching, identifying and creating correct CIS ID by registering the client in active cases so that services may be provided; using CHESSIE, CIS and MVA (Motor Vehicle Administration) databases to conduct searches at the request of Division worker, to obtain information on clients benefits, Services/ CPS history, demographic information, driving record status.

MINIMUM QUALIFICATIONS

Please describe in detail any job duties relating to the minimum qualifications stated below and include any computer software experience (Excel, CHESSIE, Powerpoint, Word etc.) used in the each of the positions you held.

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: One year performing secretarial or clerical work involving typing duties. (Please give specific examples of the duties stated above, including any duties where you typed or performed data entry)

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

One year performing secretarial or clerical duties in a Social Service or Human Service Environment.

DESIRED OR PREFERRED QUALIFICATIONS

One year using CHESSIE and CIS (client information system).

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.

Minimum Qualifications:

Permanent Maryland State employees may also complete necessary experience requirements within six months of the date of the assessment. However, such candidates will appear in pending status on the eligible list until documentation has been received that the educational and/or experience requirements have been met.

 

Credit may be given for relevant part-time, temporary, or volunteer experience if you list the number of hours worked per week.

 

Education obtained outside the United States or its territories: You will be required to provide proof of the equivalent American education as determined by a foreign credential evaluation service. Foreign school credential evaluations must be submitted with your application.

 

Candidates may submit college transcripts directly to the Examination Services Unit (ESU) via the methods described below. ESU will not accept transcripts that require someone other than the applicant to register or log in to a college website to obtain the transcript. Transcripts must be legible.
