Main Purpose of Job

This position serves as the Department of Human Resources (DHR) Administrative Assistant to the Regional Resettlement Coordinator and acts as a receptionist for the Maryland Office for Refugees and Asylees (MORA), Family Investment Administration.  The incumbent in this position is responsible for triage and reception of internal and external customers, and provides general secretarial support services; receives all clients/visitors; answers phone calls; provides information regarding rules and procedures governing Center operations; monitors facilitates efficient customer service; prepares voice mail and phone access for staff; maintains incident log, documents client and staff issues and/or concerns; types and prepares correspondence, spreadsheets, PowerPoint presentations, numerical report, etc; receives and distributes all incoming correspondence/mail; assists the Coordinator in developing Center-wide outreach materials (flyers, PowerPoints, press releases); monitors schedules; assembles client records; takes minutes, notes or summarizes meetings; maintains conference room schedule; oversees maintenance and repairs; keeps equipment inventory current; and informs Coordinator of complaints regarding all operations issues, including database.

MINIMUM QUALIFICATIONS

Please describe in detail any job duties relating to the minimum qualifications stated below and include any computer software experience (Excel, CHESSIE, Powerpoint, Word etc.) used in the each of the positions you held.

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years performing secretarial or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience. Applicants must meet both the Minimum Qualification and the Selective Qualification.

SELECTIVE QUALIFICATIONS

One year of experience preparing and maintaining statistical and numerical reports/records or use of word processing, data base, spreadsheet or computer software applications in order to prepare reports, charts, graphs or other documents.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or work processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
