Main Purpose of Job

The main purpose of this position is to provide professional administrative support to the Employee Health Services Manager, Employee Health Infection Control and Respiratory Protection Program Administrators, and to maintain medical database systems for the Respiratory Protection and Employee Infection Control Units. This position supports the mission of this agency by providing a wide range of professional administrative services and communicating with managers and licensed healthcare professionals to ensure the health and wellbeing of employees of the Department of Public Safety and Correctional Services.

POSITION DUTIES

Updates and maintains a large –scale confidential disease intervention database system for Employee Infection Control Unit (EICU).

Receives Tuberculosis (TB) and Hepatitis (HBV) medical records used to populate the database system.

Enters identification information, TB evaluation dates, HBV shot history, and pre-employment testing information for tracking purposes, and to ensure the health and safety of others.

Maintains documentation related to the EICU Intervention process; specifically medical sharps control, medical assessments, unit directives and medical protocol, unit expense accounts, and nurses time sheets.

Generates statistical reports and records related to disease intervention activities and routine correspondence as directed by management.

Updates and maintains the confidential Repository Protection Program (RPP) database system to ensure accurate employee identification information, medical evaluation history, dates of fit testing, respirator approval and/or limitation information, special instructions.

Retrieval of database information, as necessary.  

Performs other duties as assigned    

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years performing secretarial or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience. 

SELECTIVE QUALIFICATIONS

Applicants must meet this selective qualification to be considered. Include clear and specific information on your application regarding your qualifications.  

1 year of experience creating multiple types of documents with Microsoft Office to include; Excel, Word, Access, PowerPoint and Outlook.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or work processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

EXAMINATION PROCESS

The examination will consist of a rating of your education, training, and experience as presented on your application and as they relate to the requirements of the position. Successful candidates will be ranked as Best Qualified, Better Qualified, or Qualified and placed on the employment (eligible) list for at least one year.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
