Main Purpose of Job

The Office Secretary III (OS III) also referred to as the Developmental Disabilities (DD) Unit Assistant supports the mission of the Office of Health Care Quality DD Unit by providing secretarial support to the Program Manager, Health Facilities Survey Coordinators, and Coordinator of Special Programs and Health Facilities Nurse Surveyors and Investigators.  This position serves as a first contact to callers or to those sending written inquiries regarding the DD Unit activities and policies.  This includes receiving complaints from persons reporting incidents affecting individuals with developmental disabilities.  This position conducts initial reviews of DDA licenses self-reported incidents and notifies triage staff of results from reviews so that appropriate follow up occurs.  This position also provides information to contacts consistent with the rules, regulations, and operations governing the unit.  Additionally, this position relieves the Program Manager and Health Facilities Survey Coordinators from certain administrative details by establishing and maintaining tracking systems which notify staff of upcoming annual licensure assignments and summarize the status of staff assigned work. This position requires that the incumbent enter, update and verify staff entry of data, prepare reports using the OHCQ data base system and the Unit spread sheet software applications.  This position devolops office procedures, drafts and sends correspondence, maintains general files and the DD Unit office supplies.  This position develop and keep a current knowledge of the DD Unit Standard Operations Procedure Manual and OHCQ policies, have good writing and organizational skills, and have good interpersonal skills.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes: 

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.  

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or work processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
