The Maryland State Department of Education is recruiting for an Office Secretary III; located in the Division Early Childhood Development (DECD). The resulting eligible list will be maintained for one (1) year. Persons interested in future vacancies within this classification must re-apply.

Main Purpose of Job

This position provides administrative support and office management support for the Regional Manager of the Office of Child Care and her/his subordinates as well as supporting the day care community in the Baltimore City area. Duties require a thorough knowledge of regulations, procedures, and polices, use of considerable tact, discretion, independent judgment, accuracy and decision making.

POSITION DUTIES

Processes Child Care applications to include Criminal Background Checks (CBC's) and releases utilizing Child Care Automated Tracking System (CCATS), Central Information System (CIS) and CHESSIE applications in order to maintain accurate caseload information by following office procedures. Processes all incoming and outgoing mail, Criminal Justice Information System emails (CJIS), and in order to ensure timely transmittal of information by following the office standard procedures. Maintains and processes closed filed for retention and disposal in order to ensure ease of retrieval and accurate disposition of closed files by following OCC retention schedule and office procedures established by the regional Manager. Incumbent makes/takes appropriate referrals and messages of incoming calls and walk-ins to facilitate prompt and professional communication by following office procedures and business protocol.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes:  1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.  

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience. 

DESIRED OR PREFERRED QUALIFICATIONS

Ability to adapt to new technologies quickly

Highly proficient in Microsoft Word, Excel and Outlook

Experience processing, filing and updating applications

Ability to accurately maintain open and closed files in a high volume environment when requested

Extremely detail oriented

Good organizational skills, multi-tasking and problem solving skills

Ability to accurately distribute incoming and outgoing mail, emails and faxes to multiply Division and staff.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or work processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
