Main Purpose of Job

To provide secretarial, clerical, and telephone support for professional staff engaged in the planning and delivery of vocational and independent living services; provide expert assistance to consumers; initiate and maintain office protocols and procedures; and utilize information processing systems to maintain client statistical and financial records.

POSITION DUTIES

Personally greet the public with positive demeanor and appropriate etiquette; answer telephones to provide routine information about DORS and accurately record information provided by caller. Prepare resumes and job related correspondence for consumers. Using electronic case management system, issue payment authorizations and assist counselors in organizing workflow. Process bill payments, file paperwork, and schedule appointments for consumers along with managing related correspondence.

MINIMUM QUALIFICATIONS

Education:

Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience:

Three years performing secretarial or clerical work involving typing duties.

Notes: 

  1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
  2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
  3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.  

DESIRED OR PREFERRED QUALIFICATIONS

Knowledge of the principles and practices of good office management; skill in a variety of software packages; good mathematical ability; strong skills in organizing and completing multiple tasks with close attention to detail; ability to independently respond to telephone and in-person inquiries for routine information; ability to exercise good judgment, courtesy and tact in receiving callers, in giving and obtaining information, and in making proper disposition of problems; and ability to establish and maintain effective working relationships.

Experience working with individuals with disabilities is preferred.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
