POSITION DUTIES

The incumbent of this position will act as an administrative associate to an Assistant Director and an Assistant to the Director in the Compliance Division. Duties of this position include: assisting with the administrative duties associated with supporting the Division's senior staff as well as typing, assigning and tracking correspondence, scheduling, and tracking Offers in Compromise, Voluntary Disclosure applications, disciplinary appeals, and grievances for employees within the Compliance Division.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

  • Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute.
  • One year of experience performing secretarial support to an official, administrator, senior level manager, or administrative staff handling confidential correspondence, reports and other material of a confidential nature in an office setting.

DESIRED OR PREFERRED QUALIFICATIONS

  • Extensive experience using Microsoft Office products: Access, Excel, PowerPoint, and Word. Knowledge of the principles and practices of office management
  • Experience organizing and managing multiple tasks and timelines to ensure timely production and delivery of materials
  • Ability to work independently with minimal supervision
  • Ability to establish and maintain effective working relationships in a team environment
  • Ability to communicate clearly and effectively, using correct grammar, spelling, and language conventions, in all written documents and correspondence and in all verbal communications
  • Knowledge of state and local taxes and fees administered by the Comptroller and/or at least one major area of tax administration

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

Qualifying applicants are subject to an oral interview. Prior to appointment, the employee must successfully undergo a comprehensive background investigation including a review of criminal, MVA and tax records; and determination of legal authorization to work in the United States or under the United States Immigration Reform and Control Act of 1986. Upon initial appointment OR promotion to a position in the State Personnel Management System, an employee is required to serve an initial six month probationary period. This probationary period may be extended an additional six months under certain circumstances at the discretion of the appointing authority.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
