Main Purpose of Job

Provides administrative and secretarial support to the Assistant Bureau Chief and Command Staff of the Aviation Command. Functions as the front office manager and assists in directing the daily secretarial operations of the Command. Supervises lower level secretarial and clerical employees. Reports directly to the Assistant Bureau Chief.

POSITION DUTIES

Coordinates the daily activities of the Assistant Bureau Chief and the command staff.  

Supervises lower level secretarial and clerical employees whether full time, contractual or temporary.

Maintains the schedule and calendar for the command staff to avoid conflict with other assignments and ensures complete and current information is available. 

Composes and types confidential reports and letters for the various signatures.

Answers incoming telephone calls and obtains relevant information from the caller before directing the call to the appropriate person.

Manages and tracks all elements of the Command’s Project Tracking System.

Independently manages projects, such as, the Command’s Open House, Newsletter and annual retreats.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

LIMITATIONS ON SELECTION

Must be a current employee of the Maryland State Police.

SPECIAL REQUIREMENTS

1.  Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

2.  Employees in this position are subject to substance abuse testing in accordance with Code of Maryland Regulations 17.04.09, Testing for Illegal Use of Drugs

3.  In accordance with Section 2-204 (b) (6) of the Public Safety Article, candidates for positions in this position will be subject to an initial drug screening, and a complete criminal background investigation, to include a polygraph examination, before permanent appointment can be made.  A criminal conviction may be grounds for rejection of the candidate.  

SELECTION PROCESS

The selection process for this recruitment will involve a review of each application.  Applicants who meet the minimum qualifications will be placed on an eligible list in the BEST, BETTER or QUALIFIED category.  The list will be used by the hiring manager to select the individual to fill the vacancy.

EXAMINATION PROCESS

The examination will consist of a rating of your education, training, and experience as presented on your application and as they relate to the requirements of the position. You may be asked to complete a supplemental questionnaire. The supplemental questionnaire may be used as part of the rating process. Therefore, it is important that you provide complete and accurate information on your application.
