Main Purpose of Job

This position supports the Board's mission by providing administrative support to the Director, Communications Education and Policy(CEP) unit, CEP staff and the Board. The main purpose is to provide full range of administrative support by maintaining unit files, calendars, creating and maintaining logs and tracking systems to track unit responsibilities; type correspondence, reports and other material; reviewing and distributing the Board's general e-mail and unit's incoming mail; drafting routine and complex correspondence; assembling, compiling and summarizing data into a concise form and prepare statements, tables and forms from corrected copy, rough draft or oral instructions. The incumbent will prepare minutes and reports; provide information to callers regarding laws, rules, regulations, operations and procedures governing the agency's operations; maintaining important and confidential records, schedules, expense accounts and office supplies; reading reports and summarizing information to facilitate the supervisor's review; researching and obtaining material from a variety of sources to be used for articles, the Board's newsletters and speeches; proofreading outgoing correspondence and reviewing records for completeness and accuracy; preparing and maintaining statistical and numerical reports and records; updating the Board's frequently asked questions; developing special forms and summaries using a variety of records in order to secure complete and accurate information; updating, verifying and retrieving data using filing systems and computer database or spreadsheet software applications; receiving telephone calls and visitors and arranging for appointments and interviews; transmitting instructions on administrative decisions and policies to staff and maintaining frequent contacts with public and private executives, professional staff and other officials with the authority of the supervisor and other duties as assigned.

MINIMUM QUALIFICATIONS

Education:    Possession of a bachelor's degree from an accredited four-year college or university.

Experience:  One (I) year experience in administrative or professional work.

NOTES:

1.  Candidates may substitute additional experience in administrative staff or professional work on a year-for-year basis for the required education.

2.  Candidates may substitute additional graduate level education at an accredited college or university at the rate of 30 semester credit hours for each year of the required experience.

3.  Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included the regular independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year to year basis for the required education and experience.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.
