Introduction

This is a recruitment for an Executive Associate III in the Office of the Commission of the Maryland Public Service Commission.

This is an "at will" position and serves at the pleasure of the Appointing Authority, "the Commission".  This means that an individual can be terminated for any reason; including political affiliation, belief, or opinion, that is not illegal or unconstitutional.

Main Purpose of Job

The position provides administrative support and acts as the personal secretary and assistant to the Chairman of the Public Service Commission (an Executive Service official).

POSITION DUTIES

Organizes testimony, briefs and other materials associated with proceedings for the Chairman prior to hearings and deliberations held on the matters;

Acts as an intermediary for the Chairman, maintaining frequent contacts with public and private executives, professional staff and other officials;

Answers incoming inquiries from visitors and callers and arranges for appointments and interviews;

Maintains important and confidential records, schedules, and expense accounts;

Compiles materials for weekly Commission and Administrative meetings;

Opens, sorts, reads and distributes incoming correspondence for the Chairman;

Reviews records for completeness and accuracy;

Responsible for correspondence received from the Governor’s office;

May design and implement office procedures;

Composes correspondence and relieves the Chairman of operational details by assembling, compiling and summarizing data into a concise form;

Handles travel arrangements for the Chairman;  

May use word processing, database, spreadsheet or desktop publishing computer software applications, (including Microsoft WORD, EXCEL, PowerPoint) in order to prepare reports, charts, graphs or other documents.  Experience with Google Mail is preferred.

Performs other related duties as necessary.

MINIMUM QUALIFICATIONS

Education: 

Graduation from an accredited high school or possession of a high school equivalency certificate is required. 

Experience:

Must possess a minimum of five years experience performing duties in an executive support role.

Note 1.  Thirty credit hours in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

An associates degree or bachelor's degree from an accredited college or university is preferred.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

A valid authorization to work in the U. S. and a valid State of Maryland driver's license is required.

SPECIAL REQUIREMENTS

This position requires excellent communication skills, both oral and written, excellent organizational skills, and a professional manner and dress.
