Main Purpose of Job
POSITION DUTIES
· Coordinate interdepartmental activities including but not limited to: prospect management meetings, financial reporting; scheduling high level prospect and MPT Foundation meetings with the MPT President’s office and members of the MPT Foundation Board of Directors; and, arranging for donor stewardship such as on-air acknowledgement spots with Content Services and Traffic.
· Provide and prioritize administrative assistance to the Managing Director as well as members of the Major & Planned Giving team. Duties include but are not limited to: Maintaining the Managing Director’s calendar; accurately processing and reporting all Major & Planned gifts in donor database and WebFocus; processing and tracking credit card transactions; generating acknowledgement letters; tracking campaign gifts in coordination with MPT Foundation campaign counsel; processing invoices, tracking pending transfers; ensuring the correct allocation of restricted funds; administration of the Leadership Society and Legacy Society programs including corresponding web pages and mailings; researching individual and foundation prospects and assembling proposal packages.
· Maintain existing systems (and develop new systems as needed) for records management in hard and electronic format.
· Support MPT Foundation Board of Directors. Duties include but are not limited to: coordination and scheduling of all MPT Foundation Board and Committee meetings; drafting meeting agendas; tracking Board membership terms; accurately recording and timely distribution of all Board and Committee meeting minutes and materials, working with the Managing Director, Board Chair and President to maintain up-to-date governance documents; preparing personal hand-written correspondence on behalf of MPT Foundation Board leadership.
· Secure interns for the Major & Planned Giving unit
· Perform other duties as assigned.
MINIMUM QUALIFICATIONS
Bachelor’s Degree
Three years experience as an administrative assistant in a corporate or formal business environment.
Experience in database management and Microsoft Office products essential.
