Introduction

This is a position specific recruitment for an Administrative Aide in the Treasury Banking Services Department of the MD State Treasurer's Office.  This recruitment will be used to fill current and future vacancies for this position/function only.  The resulting eligible list will be maintained for one year.  Persons interested in future vacancies within this classification must re-apply.

The Maryland State Treasurer’s Office is seeking a customer service-oriented professional to perform financial support functions for the Banking Services Department in the Treasury Management Division at the Maryland State Treasurer’s Office.   The primary mission of the Banking Services Department is to manage and control banking relationships for all banking needs for all State of Maryland agencies, to anticipate State agency needs, and respond timely to State agency requests.  Its primary function is the accurate and timely recordation of State funds and the reconciliation of the State’s bank accounts to the State’s internal accounting system.

Annapolis, MD

Main Purpose of Job

This position is responsible for performing a variety of administrative banking functions within the State’s Banking Services Department.  Tasks include researching and processing State agency requests for check services (stop payments, cancels, recovers, reissues and check copies), coordinating replacement checks for payroll direct deposit failures, entering stop payments on the disbursement bank’s on-line system, setting up new vendor records for ACH payments, and processing various other transactions into the Treasurer’s and the State’s financial systems. The incumbent provides primary coverage on the Banking Services main phone line, and is part of a rotational team that provides back-up coverage to the Treasurer’s Office main phone line.

POSITION DUTIES

Functions include:

  • Process agency requests for check stop payments, cancels, recovers, reissues and check copies for the vendor and payroll disbursement accounts
  • Process (in conjunction with Central Payroll Bureau) the necessary transactions for payroll direct deposit failures/recoveries
  • Process other check status changes in the Treasury financial system
  • Enter Electronic Funds Transfer Registration information into Treasury financial system
  • Process tax refund check stop payments
  • Primary reception coverage for the Treasury Management Division
  • Back up reception coverage for the Treasurer's Office main reception area
  • Maintain database of Approved Signatures for Stop Payments/Reissues

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

  1. One of the required years of experience must be in a financial or bank setting.

 

DESIRED OR PREFERRED QUALIFICATIONS

Strong preference will be given to applicants that possess the following.  Include clear and specific information on your application regarding the qualification(s).

  • Commercial banking customer service liaison experience
  • Data entry skills and ability to quickly learn company software
  • Oral and written communication skills with various audience levels
  • Attention to detail and ability to meet deadlines
  • Prior State of Maryland experience

LIMITATIONS ON SELECTION

Applicants must be willing to work in the Annapolis are.  Applicants must be willing to work between the hours of 8:00 AM – 5:00 PM.  Applicants will be subject to a background investigation to include criminal and credit history.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
