Main Purpose of Job

This position assist the Assistant Director of Administration in the operation of Administrative Services unit. The Administrative Services unit is a support unit that provides assistance to all other agency departments to assure that their business is conducted according to state mandates in an orderly, efficient and professional way.

POSITION DUTIES

The Fleet Manager Responsible for Fleet Operations, overseeing a fleet of 17 vehicles to assure that vehicles are available and safe for employee use. Schedule regular and emergency maintenance for all vehicles. Responsible for coordinating with driver, driver's supervisor, DHR and PHH in reporting all vehicular accidents and seeing that all accident reports are completed and arrange for vehicle repair, if necessary. Use Fleet Master, Mansfield Oil, PHH and Fleet Master websites to assist with reporting and obtaining information. Submit reports to both local administration and DHR in a timely manner. Mail Processing / Switchboard Oversees the processing of all outgoing mail making sure that mail is sent via the most cost saving manner and that it is sent out in a timely manner. Oversees the distribution of all incoming mail and that is it distributed to the different agency departments. Monitor all postage accounts to assure postage is always available and arrange for the refunding of those accounts when needed. Oversees the daily operations of the Switchboard seeing that all incoming calls are directed to its proper destination. Coordinates leave and staff to assure continued switchboard coverage. Provide assistance and training to switchboard operators to assure proper handling of all calls and assure that state and agency procedures are followed.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years experience in general services functions, office administration activities or in the receiving, storing, issuance, purchase or requisition of equipment, materials, and parts and supplies.

Note:

1. Additional experience as stated above may be substituted on a year-for-year basis for the required education.

2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in logistics specialist classifications or administrative support specialty codes in the logistics field of work, on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

One year experience in agency procurement; such as, Fleet Management,or Purchasing, or Inventory Control.

DESIRED OR PREFERRED QUALIFICATIONS

Experience working in FMIS, knowledge of State Inventory Control, Emergency Operations/Shelter Management a plus.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
