Main Purpose of Job

The Office of Health Care Quality has (2) Office Secretary III vacancies. One position is in the Assisted Living Unit and the other position is in Developmental Disabilities Unit. These positions are an integral part of the mission of Office of Health Care Quality (OHCQ), which protect the health and safety of citizens of Maryland and to ensure their public confidence in health care and community services delivery systems through regulatory, enforcement, and educational services.

Vacancy 1: The Office Secretary III of Developmental Disabilities Unit will provide secretarial support to the Program Managers, Health Facilities Survey Coordinators, and Coordinators of Special Programs, Health Facilities Nurses Surveyors, and investigators. This position will serve as the first contact to callers or written inquiries regarding the Developmental Disabilities Unit activities and policies. This position requires maintaining tracking systems, preparing reports using software applications, general filing, and maintaining office supplies. This position must develop and keep a current knowledge of the Developmental Disabilities Unit Standard Operations Procedure Manual and Office of Health Care Quality policies.

Vacancy 2: The Office Secretary III of Assisted Living Unit will provide secretarial support to employees who survey assisted living and adult medical day care facilities. This position requires familiarity with state licensing procedures and the ability to communicate the program information to providers and the general public. This position will be responsible to insure that all responsibilities related to the complaint intake of the Assisted Living Compliant Unit are carried out efficiently and timely. This position is also responsible for corporate purchasing and remote deposits for Assisted Living Unit.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes: 

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

 2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.  

DESIRED OR PREFERRED QUALIFICATIONS

The preferred candidate should have excellent interpersonal, organizational, and writing skills. The preferred candidate should also have experience using Microsoft Office as well as experience supporting a group of professional staff within a health care setting.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or work processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
