Main Purpose of Job

This position functions as the executive assistant to the Director and Assistant Director for Administration and provides clerical support to the Department of Social Services Advisory Board and coordinates a variety of professional administrative activities for the Director and Assistant Director to ensure efficient delivery of services throughout the department.

POSITION DUTIES

This position composes and types correspondence; screens and prioritizes phone calls; maintains confidentiality of information; takes minutes; opens and distributes mail; is proficient in software to create projects, reports and presentations; provides support to the Advisory Board; arranges and coordinates meetings; requests State vehicles for meetings; manages and facilitates meeting arrangements; is the point of contact for internal and external customers who may file complaints, concerns, request information or seek a solution to problems; provides accurate information to staff, customers and other officials on behalf of the director; researches, responds, resolves and assists in solving customers concerns; and performs fiscal function in order to provide compliance with State audit systems. This position requires a strong working knowledge of the agency's operations and State's policies and procedures; utilizes independent judgment; adheres to deadlines; and handles complex/difficult issues from local and State officials, Department of Social Services Advisory Board and internal and external customers.

MINIMUM QUALIFICATIONS

Please describe in detail any job duties relating to the minimum qualifications stated and include any computer software experience (ex. Word, Excel, Access, etc.) used in each of the positions you held.

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

You must have two years experience performing secretarial or clerical work, managing a supervisor's calendar in Google mail and creating documents using Microsoft Office Word and Excel in a professional office setting and meet the minimum education and experience required to be approved for this recruitment. 

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
