Main Purpose of Job

The Administrative Aide provides secretarial support to the Executive Director of Region I, Community Operations of the Department of Juvenile Services. This position also provides secretarial support for other administrative staff in the Executive Director's office.

POSITION DUTIES

The Administrative Aide provides secretarial support to the Executive Director of Region I and other administrators.  The incumbent maintains a schedule of appointments and daily schedule for the Executive Director.  Additionally the Administrative Aide position maintains a schedule of the conference room requests, arrange meetings and secure appropriate sites.  Typing correspondence, reports and tables, maintaining statistical reports and assembling materials are other responsibilities.  The position also answers and screens telephone calls, provide information to callers and visitors and assist clients/family and visitors to the appropriate area or resource.  The Administrative Aide will input entries and make inquiries in the DJS ASSIST and DJS Incident databases.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Possess time management and organizational skills.

Experience using the ASSIST database and DJS Incident database.

Possess at least five years secretarial or clerical work experience.

LIMITATIONS ON SELECTION

This recruitment is limited to current employees of the MD Department of Juvenile Services.  You must be a current Maryland Department of Juvenile Services Employee.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

NOT APPLICABLE.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

SELECTION PROCESS

Applicants who meet the Minimum Qualifications will be placed on the eligible list categorized as Best Qualified, Better Qualified, or Qualified. Candidates shall be certified to the eligible list for a year.

For education obtained outside the U.S., you will be required to provide proof of the equivalent American education as determined by a foreign credential evaluation service. This list will be used by DJS hiring agency to select employees.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
