Main Purpose of Job

This position provides support to the Director of Departmental Coordination and Federal Legislation. This position also manages the correspondence system for the Department. Knowledge and skills in various software applications, office organization and management, communication, and interpersonal relations is required.

POSITION DUTIES

Manages Superintendent’s correspondence and Governor’s correspondence for the Department; Manages, plans, oversees, and troubleshoots the Department’s Correspondence system; provides technical guidance and assures that MSDE staff have necessary training for full utilization of the correspondence system; proofreads correspondence before it is sent to the Governor’s Office for approval; arranges appointments, schedules, and travel arrangements; assists with key Department initiatives such as task forces and workgroup meetings, facility and logistical arrangements, participant notification and preparation of meeting materials; assists with   preparing federal budget and legislation reports that include charts, graphs and text;  assists in preparing and disseminating weekly/biweekly reports to the Governor’s Chief of Staff Office and Local Superintendents; organizes, prepares, and maintains record systems, up-to-date contact information and email distribution lists.

MINIMUM QUALIFICATIONS

EDUCATION: Possession of a Bachelor's Degree from an accredited four-year college or university.

EXPERIENCE: Three years’ experience in administrative or professional work.  

NOTES:

  1. Candidates may substitute additional experience in administrative staff or professional work on a year-for-year basis for the required education.
  2. Candidates may substitute additional graduate level education at an accredited college or university at the rate of 30 semester credit hours for each year of the required experience.
  3. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included the regular independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year to year basis for the required education and experience. 

SELECTIVE QUALIFICATIONS

Knowledge of various software applications, office organization and management; knowledge of Google Chrome, Mail, Docs, Sheets, Slides and Drive; knowledge of standard business English and grammar proficiency; knowledge of Microsoft Word, Access, Excel, Power Point and Publisher; skill in communication, and interpersonal relations; skill in time management and personal organization; ability to determine level of urgency in answering inquiries from school related personnel, elected officials, and the general public.

LIMITATIONS ON SELECTION

Proof of eligibility to work in compliance with the Immigration Reform and Control Act and possible travel throughout the State are required. Any misrepresentation of academic or experience requirements for this position may result in non-selection or termination of employment.
