Main Purpose of Job
POSITION DUTIES
Works closely with the Division Director and Commission staff in disposing of day-to-day activities and communications from within and outside the agency. Assists the public, compensation community and Commission personnel in person or on the telephone, responding to inquiries regarding the proper completion and submission of various commission forms and provides information regarding Commission policies and procedures.
Analyzes, prepares, calculates and processes basic legal Awards/Orders from the Commissioner’s decisions and legal documents submitted, including but not limited to: Stipulations, Settlements, Lump Sums, Appeals, Advancements, No Action Review Mail, Rehearing’s, Emergency Hearing Requests, Fee Petitions, Corrections and Other Motions while covering/assisting with office of Commissioners Assistants. Addresses inquiries on Commissioner duty days and in a Commissioner’s absence including Vocational Rehabilitation Disputes.
Examines case documents for accuracy prior to the hearing of a compensation claim. Coordinates the flow of legal documents and information between other divisions within the Commission and a Commissioner. Handles dockets, including but not limited to: reviewing, assembling and breaking down, pre and post data entry, emergency and special request scheduling and postponements.
Researches and interprets workers’ compensation laws and regulations in order to provide a Commissioner, attorney, unrepresented claimant, or internal employee with general/relevant information needed for the adjudication of workers’ compensation claims. Reviews US mail, interdepartmental mail and email for processing, answers phone, and walk- in requests and inquiries applying to Workers’ Compensation law, regulations and procedures.
Prepares itinerary, leave requests and expense accounts, schedules appointments, telephone conferences/hearings and meetings for the Commissioner. Additional assistance as requested including but not limited to maintaining supply inventory for Hearings division, providing assistance with departmental reports, and taking minutes at departmental meetings.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Three years performing secretarial or clerical work involving typing duties.
Notes:
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
The ideal candidate will have experience in preparing administrative court orders and possess advanced documented skills in Microsoft Office (Word, Excel, Outlook and PowerPoint).
One year of experience processing workers' compensation claims.
