Main Purpose of Job

The main purpose of this position is to receive shipments from vendors, store supplies and distribute supplies to agency staff as well as update and maintain logs, records and lists of supplies. The position also assists with mail receipt and distribution and case processing, performs manual labor and collects and shreds agency files. This position also answers agency telephone calls and transfers calls to appropriate parties and directs them to the correct location as well as alerts staff of visitors.

POSITION DUTIES

Assists with incoming and outgoing mail processing to include collecting mail and stamping mail with correct postage by operating automated postage machine. Sorts and delivers incoming mail for delivery to correct agency unit. Ensures adequate funding levels for postage by adding postage funds to machine and re-supplies funding levels in accordance with Social Security regulations. Uses online tools to prepare large packages for shipment. Creates and transmits monthly postage expenditure reports to Social Security regional office. Provides switchboard coverage and utilizing legacy case processing system to direct incoming calls to correct destination. Greets agency visitors and directs them to correct location. Receives and stores agency supplies and maintains logs of said supplies. Maintains storage rooms and performs maintenance work as needed throughout agency to include but not limited to desk repair. Completes other duties to include but not limited to collecting obsolete paper materials throughout agency on a daily basis and shreds material containing personally identifiable information per federal guidelines. Maintains shredders as needed.

MINIMUM QUALIFICATIONS

Education: Completion of the eighth grade.

Experience: One year experience performing clerical duties in an office environment. 

Notes:  

1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.  

2. Graduation from an accredited high school or possession of a high school equivalency certificate may be substituted for six months of the required experience.

3. Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, data base, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or in Administrative, Clerical, or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

Six months sorting and processing mail, and operating a postage machine is required.

SPECIAL REQUIREMENTS

Individuals selected for the positions with the Maryland State Department of Education, Disability Determination Services will go through a complete federal background investigation.  A suitable determination by the Social Security Administration is necessary to determine whether an employee can be issued credentials in order to have access to Social Security disability data, records and systems.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
