LOCATION OF POSITION

200 West Baltimore Street, Baltimore, MD

Main Purpose of Job

Office manager responsible for the maintenance and operation of the departmental fleet of vehicles and serve as back up supervisor for the Support Services unit responsible for central duplicating, mail services, central stores and reception desk.

POSITION DUTIES

Develops and implements policies and procedures for the safe operation of the departmental vehicle fleet; maintains vehicle titles, and driver assignments, division/ officer driver acknowledgement forms, individual driver acknowledgement forms, commute mileage, reimbursement reports, vehicle assignment logs, toll facilities code list, driving records and inventory of all vehicles; reviews and approves vehicle maintenance and fuel bills for payment; verifies maintenance expense; reviews and maintains reports/records of accidents and coordinates insurance claims; establishes vehicle assignments and reassignments; secures copy of driving records, provides driver orientation, approves temporary assignment of vehicles and monitors proper operation of vehicles; attends quarterly fleet safety coordination meetings and provides feedback; coordinates and supervises the operations of the central stores; orders and restocks supplies as needed; ensures complete cataloguing of stocked office supplies and reconciles supply inventory records with requisitions; supervises the daily operations of the mail services in the absence of the section chief.

MINIMUM QUALIFICATIONS

Education: Completion of 60 credit hours at an accredited college or university.

Experience: One year of experience in administrative or professional work.

Notes:

1. Candidates may substitute experience as defined above for the required education at the rate of one year of experience for 30 credit hours, for up to 60 credit hours of required education.

2. Candidates may substitute 90 credit hours at an accredited college or university for the required education and experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required education and experience.

DESIRED OR PREFERRED QUALIFICATIONS

  • Microsoft Office Suite experience
  • Managing inventory experience

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
