This is a position specific recruitment for the Department of Natural Resources, Finance and Administrative Services. This recruitment will be used to fill current vacancies for the position and may be used to fill future vacancies in the same classification/function. Future vacancies may also be filled via other recruitments. The resulting eligible list will be maintained for one year.

Main Purpose of Job

The Department of Natural Resources (DNR), Finance and Administrative Services (FAS), is currently accepting applications for a Management Associate. The selected candidate will provide secretarial and administrative support to the Director and Deputy Director of FAS. The incumbent will draft and prepare correspondence, maintain the Director's and Deputy Director's calendars, coordinate meetings, answer telephones and carry out other duties as necessary to support daily administrative functions within FAS.

This position deals with a diverse group of internal and external customers at all levels within the organization and requires confidentiality due to the sensitive nature of work. This position also requires independent judgment and decision making skills, good communication skills, attention to detail, good organizational skills and excellent customer service.

The successful candidate will use/require office skills to handle customer communications (internal/external), maintain file organization and management, utilize software including Word, Excel and Google Mail and facilitate report and letter preparation and decision making within scope of responsibility. Independent judgment is required to plan, prioritize, and organize a diversified workload. The incumbent in this position reviews correspondence, reports and assignments noting format, grammar, completeness, consistency with established guidelines, and content to ensure document is responsive to issues raised; composes correspondence, reports, tables and other documents as necessary.

Additional duties include receiving, screening and independently handling incoming calls on a variety of subjects; managing special projects independently as assigned including, but not limited to: coordination of recruitment of FAS vacant positions; coordinating and scheduling meetings for the Director and Deputy Director; maintaining the current electronic calendar; researching, preparing and distributing materials relative to meetings; coordinates and prepares travel arrangements including paperwork for funding approval; reviews and distributes incoming mail; maintains assignment log and tickler file; and monitors progress of assignments for completion and submission.

The incumbent also serves as the Human Resources Coordinator, Records Retention Coordinator, Open Meetings Act liaison, assists the Budget Section with fiscal related activities, assists the Federal Grant Section with grant monitoring and accounting and performs other special duties as assigned. Lastly, the selected candidate will provide support to the procurement, accounts payable and accounts receivable sections in the auditing of corporate card agreements, archiving of files and completing the daily mail log for cash and checks received.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.  

SELECTIVE QUALIFICATIONS

One year of experience supporting an executive level and/or senior management leadership position.

DESIRED OR PREFERRED QUALIFICATIONS

Strong preference will be given to applicants that possess the following.  Include clear and specific information on your application regarding the qualification(s).

1. Customer service experience, including with upper management

2. Experience working independently for executive level and/or senior level management.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
