Main Purpose of Job

The main purpose of this job is to independently perform all administrative duties required to support the Certification Branch Chief and handle the customer service requirements for the certification branch including tracking all complaints and waiver requests. This includes staffing the certification assistance call center and email account. Furthermore, this position requires the incumbent to discharge the essential job functions and assigned duties independently with little to no supervision.

POSITION DUTIES

  • To provide internal and external constituents with complex certification information based on a thorough knowledge of the laws, regulations and policies that pertain to educator certification.
  • Provide executive assistance and support to the Branch Chief including: coordination of the Branch Chief’s mail, calendar, telephone, and email requests and determination of the appropriate course of action for response; coordination of branch workflow; preparation of correspondence entailing a wide knowledge of the Division’s and Branch’s procedures, functions, and policies for the review and signature of the Branch Chief; and maintain and type confidential material.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

1 year experience with Microsoft Office Suite (Word and Excel)

DESIRED OR PREFERRED QUALIFICATIONS

The following qualifications are preferred, not required:

  • Customer service experience
  • Call center or multi-phone experience
  • Microsoft Office Share Point or Customer Relationship Management (CRM) experience

LIMITATIONS ON SELECTION

Proof of eligibility to work in compliance with the Immigration Reform and Control Act and travel throughout the state are required. Any misrepresentation of academic or experience requirements for this position may result in non-selection or termination of employment.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
