Purpose

The Office Assistant IV in the Revenue and Cost Division of the Office of the Comptroller is responsible for all clerical and administrative support of the division, including records management and general office duties.

Essential Functions

  • Type and photocopy reports and correspondence related to grant projects.
  • Create, update and maintain grant related documents, including project file folders and mailing lists.
  • Prepare and document inactive grants records for storage and submit to the Records Center for archiving.
  • Under the direction of accounting specialists, prepare and modify grant reports and correspondence.
  • Pick-up, sort, organize and distribute incoming and outgoing division mail and other correspondence.
  • Distribute payments to grantee agencies and obtain signatures for in-person payments.
  • Provide coverage for the front desk on a rotating basis, provide routine information to the public in person and by telephone and direct office visitors to appropriate division staff.
  • Act as backup to the accounting specialists for entering cash deposits in the City’s FMIS system.
  • Coordinate Wisconsin Institute of Certified Public Accountants (WICPA) continuing professional education training enrollment for staff and compile related costs for payment.
  • Work with the division manager to provide external auditors with requested documents during annual audits.

Minimum Requirements

  1. Four years of progressively responsible clerical experience performing duties closely related to this position.  

Equivalent combinations of education and experience may be considered.

Knowledges, Skills, Abilities & Other Characteristics

  • Knowledge of clerical and administrative procedures and office management practices.
  • Knowledge of basic accounting methods to assist with entering financial information. 
  • Oral communication skills to communicate with culturally diverse individuals at all levels within and outside the organization.      
  • Written communication skills to prepare letters, business correspondence and documentation.       
  • Customer service skills to respond to inquiries with tact, diplomacy, and discretion both in person and over the phone.
  • Ability to maintain an organized and accurate filing system to easily access documents when requested by staff and auditors.
  • Ability to use advanced functions of Microsoft Office to produce correspondence and documents.
  • Ability to use spreadsheet software and databases to perform data entry.
  • Ability to be self-directed and prioritize duties with minimal supervision.

Current Salary

The current salary range (Pay Range 6HN) for City of Milwaukee residents is $37,830 - $41,863 annually and the non-resident salary range is $36,902 - $40,836 annually.   Appointment will be made in accordance with the provisions of the salary ordinance.

Selection Process

THE SELECTION PROCESS will be job related and will consist of one or more of the following: education and experience evaluation; written, oral, or performance tests, or other assessment methods. The Department of Employee Relations reserves the right to call only the most qualified candidates to oral and performance examinations. Oral examinations may include written exercises. Selection process component weights will be determined by further analysis of the job.

INITIAL FILING DATE - The examination will be held as soon as practical after Wednesday, September 27, 2017.
